PlayMetrics schedules can live right inside Outlook — games, training, and club events next to work meetings, updating on their own. Two things to know before you start: PlayMetrics only hands out links through the Sync Calendar button on its Calendar page, and the subscription is per player even though the PlayMetrics view merges your kids. Outlook's side is one dialog.
This guide walks the exact path on both sides, plus the honest fine print about how quickly Outlook actually picks up schedule changes afterward.
Sign in to PlayMetrics and open Calendar. Sign in with your Player Contact account — the parent-side login your club set up. On a computer, Calendar sits in the left-hand menu; on a phone, tap the menu icon first. Either way you land on a consolidated calendar showing every player attached to your account.
Select Sync Calendar. The Sync Calendar button lives on that Calendar page. It's the one place PlayMetrics hands out subscription links — there's no separate export option buried in account settings.
Choose which player you're subscribing to. Even though the Calendar view merges all your kids, the subscription itself is per player. Pick one now; if you have two players in the club, you'll run this again for the second.
Choose Full Calendar or Games Only, then copy the hyperlink. Full Calendar includes practices and club events as well as games; Games Only strips it down to match days. PlayMetrics will either walk you into your calendar app or show you a copyable hyperlink — take the hyperlink, since that URL is what Outlook needs.
In Outlook: Add calendar → Subscribe from web. On outlook.com (or the new Outlook app for Windows/Mac): Calendar → Add calendar → Subscribe from web → paste → name it → Import. If the link starts with webcal://, change that prefix to https:// first.
Two players, or kids on other apps? Merge first and subscribe Outlook once. PlayMetrics issues one feed per player, so a two-player family is already two subscriptions before any sibling's GameChanger team or school PDF enters the picture. Paste every link into Schedule Caddie (free), then point Outlook at the single merged All Events URL. One subscription instead of five, plus an email whenever the club moves something.
Subscribing puts the schedule in Outlook, but Outlook re-reads subscribed feeds on its own cycle — commonly several hours, with no guaranteed interval published, so allow up to a day — and it never notifies you when an event changes. PlayMetrics warns about the same thing in its own help article: a synced calendar may not always be current. A training session that moved this morning can still show the old time at pickup. Schedule Caddie checks the same PlayMetrics feed every hour and emails you exactly what changed, so the calendar on your phone is the backup, not the only line of defense.
Paste the link into Google Calendar, Apple Calendar, or Outlook and it works — you're subscribing once per player, and PlayMetrics only knows about the one club that runs on it. A sibling on a GameChanger baseball team, a school team, or a second club is nowhere in that feed — which means two or three Outlook calendars to keep checking, and nothing warning you when two of them collide.
I can't find Subscribe from web in the Outlook phone app
Set it up on outlook.com in a browser — the phone apps don't offer URL subscriptions. Once added to the account, it appears on every signed-in device.
Only one of my kids' schedules came through
Expected — the PlayMetrics Calendar page merges your players, but Sync Calendar issues one link per player. Go back and repeat the sync for each child, adding each URL to Outlook separately — or paste each link into Schedule Caddie and let it merge them for you.
I don't see Calendar in the PlayMetrics menu
On a phone it's behind the menu icon rather than a visible sidebar. If it's still missing, check which role you're signed in as — PlayMetrics accounts can hold several roles (coach, club admin, Player Contact), and you may need to switch to your Player Contact role first.
Outlook rejected the link
Usually the webcal:// prefix (make it https://) or a copy that grabbed a stray space. Paste it into a browser's address bar first — it should load or download an .ics file.
A training session moved but Outlook still shows the old time
PlayMetrics says this themselves in their help article: subscribed calendars may not always be in sync, because calendar apps only pull feed updates periodically. Outlook refreshes on its own cycle — commonly several hours, with no guaranteed interval published, so allow up to a day. If you want to know the day something moves, route the feed through Schedule Caddie first: it checks the same PlayMetrics feed every hour and emails exactly what changed while Outlook catches up.
Usually — but some organizations disable internet-calendar subscriptions by policy. If Subscribe from web is missing, that's an admin setting, not a broken link; a personal outlook.com account will take it.
Yes — silently, on Outlook's refresh cycle. The entry just changes; nothing announces it, and PlayMetrics is upfront that subscribed calendars may lag the real schedule. That silent-update gap is exactly what Schedule Caddie's free change-alert emails exist for.
Full Calendar gives you everything PlayMetrics has for that player — games, training sessions, and club events. Games Only narrows it to match days. Most parents want Full Calendar; practices are the thing that moves most often.
Yes, but one at a time. PlayMetrics shows all your players together inside its own Calendar view, then hands out a separate subscription link per player — so each child is another Subscribe from web in Outlook, unless you merge them upstream first.
In Outlook's calendar list, open the subscribed calendar's menu and remove or unsubscribe it. You can re-add it with the same hyperlink anytime.
